Rental Information

All rentals will be charged a minimum $500.00 Security Deposit. A refund check will be mailed two weeks after event is completed and property is inspected by a board member.

A minimum of  $1,000,000.00 in Liability insurance must be provided by Lessee with Van Buren Youth Fair Association as additional insured.  Cost of Insurance if purchased through VBYFA is based upon the event and Lessee will be invoiced accordingly.

Terms and conditions for lease agreement

Lease day is from 7:00 am to 9:00 pm for Monday – Thursday rental.  Lease day for Friday – Sunday rental is 7:00 am to 12:00 midnight.  The Lessee will be charged $50.00 for the first hour over rental day.  If Lessee is not gone by closing time, Lessee will forfeit their deposit and appropriate authority will be notified.  Lessor will charge $25.00 per hour per person for any extra cleaning after closing time.

Lessee will be responsible for table set up and take down, if required.  Personnel will be on site or on call for when your event is being held.  Contact information will be provided.

Lessee agrees to provide a certificate of insurance naming the Van Buren Youth Fair Association as an additional insured covering the Lessee and the VBYFA for the time of the event in the amount of $1,000,000.00

If lease includes kitchen, please read health department rules that are posted. 

Alcoholic beverages shall not be provided at nor brought upon the premises without written request to and approval by the Van Buren Youth Fair Association’s Board of Directors.  At no event shall alcohol be sold, nor shall alcohol be served at a ticketed event for which patrons paid an entry fee, nor shall alcohol be served ancillary to a dinner or the like for which the participant is charged a fee.  The Board of Directors reserves the right, at any time, to refuse to allow alcohol upon the premises or to revoke permission for same.  Absolutely NO beer kegs shall be stored in the refrigerators. 

The use or possession of any and all illegal substances and drugs are STRICKY FORBIDDEN on the premises of the Van Buren Youth Fair at all times. Any violation discovered during an event OR after an event will be IMMEDIATELY reported to the proper authorities and will result in the forfeiture of deposit.  Lessee will be excluded from further use of the facility.

No sharp objects may be used to attach decorations to the building.  Absolutely NO staples or tacks are to be used on the tables.  NO paint/spray paint on the grounds at any time.  Masking tape is the only adhesive to be used when decorating.

At the close of an event, all personal items must be removed from the grounds.  All areas which are under this contract shall be taken care of and must be back in the same order as you found them.  All trash (including bathrooms) is to be placed in dumpsters.  Garbage bags will be provided and must be used.  Lessee will receive a check list of items which must be done before leaving the event.  An inventory of all equipment, utensils, etc. will be done following your event.  Deposit will be withheld if any part of contract is not in compliance. 

Absolutely NO SMOKING in any area of any building!

If building is left unattended at any time it is Lessees’ responsibility to secure it before leaving. 

A fair, exhibition, exposition, or show shall have an accredited veterinarian on call whenever there are animals on the premises during the event.

An  exhibition  facility  and  associated  buildings  shall  be  cleaned  and  disinfected  with  a  state veterinarian-approved disinfectant used in accordance with label instructions before animals are admitted.

The Van Buren Youth Fair Association reserves the right to refuse a lease at their discretion. 

CANCELLATIONS – Any Cancellation of said event shall result in forfeiture of the deposit. 

OTHER PROVISIONS: 

Lessee agrees to indemnify and hold VBYFA harmless for any and all illness, loss, claims, damages, costs or injuries arising out of Lessees’ and their invitees’ use of the property.
